Privacy Policy

Last updated: October 4, 2026

Parents trust us with information about their children, so we want to be clear about what we collect, why we collect it and who it goes to. This policy explains that in plain language.

1. Who we are

Tutorizer (“Tutorizer”, “we”, “us”) provides small-group and one-on-one math tutoring and a learning arcade for children in Kindergarten to Grade 8, and games and daily challenges for students up to Grade 12.

We are responsible for the personal information described in this policy. Our designated Privacy Officer is:

Privacy Officer
Tutorizer
contact@tutorizer.ca

Send privacy questions, complaints, requests to see, correct or delete information, and requests to withdraw consent to the Privacy Officer.

2. Who this policy covers

This policy applies to everyone who uses Tutorizer:

  • Parents and guardians, who create accounts, add children and pay for tutoring.
  • Students, who play the arcade, do homework and attend sessions.
  • Tutors, who run sessions and use our teaching tools.
  • Visitors, who browse our public pages or try the games without an account.

3. Children and parental consent

Tutorizer is designed for children, so we treat their information with extra care.

Children under 13. A parent or guardian must approve an under-13 child's account before it becomes fully active. A parent can create the child's profile from the parent dashboard (that is their approval). If a child under 13 signs up on their own, we ask for a parent or guardian's email address, create the account in a locked state, and email the parent an approval link. The parent can approve the account, or tell us they did not authorize it, in which case we delete it right away. We record that consent, with the date and the version of this policy.

Until a parent approves, we keep only what we need to ask for approval: the sign-in details the child chose, their first name and last initial, grade and username, and the parent's email address. We do not collect learning or activity information, and we do not send anything about the child to our AI tools. If nobody approves within 14 days, we delete the account.

Students 13 and older can create their own account. We show them a short privacy notice when they sign up, and the same protections in this policy apply to them. A parent may still be involved in things like payments, tutoring arrangements and progress reports. A student who signed up under 13 moves to this group automatically once the month they turn 13 has passed (see “Age” below).

If you are a parent or guardian, you can ask to see, correct or delete your child's information at any time by contacting the Privacy Officer. If you believe a child has created an account without your permission, tell us and we will delete it.

We do not knowingly collect more information from children than we need to run the arcade, the lessons and the tutoring sessions. We do not show advertising to children, and we do not sell any user's information.

4. For students: the short version

This part is written for kids and teens.

  • We keep your answers, scores, coins and progress so your tutor can see where to help you.
  • Your tutor and your parent or guardian can see your progress. Other students can see your username and avatar on a leaderboard. Your friends and the people in your groups can also see your weekly XP, your streak and your Daily Sprint score.
  • You can add a friend in your grade by typing their exact username, and they have to say yes. Only friends can message you. Never share a phone number, address or link: we remove them from messages. If you are under 13, your parent can see who your friends are. Anyone can block and report someone, and an administrator may read a conversation that has been reported.
  • We do not show ads and we do not sell anything about you.
  • If you are under 13, a parent or guardian has to say yes before you can use Tutorizer.
  • Use a first name or nickname, never your full name, address or phone number.
  • You or your parent can ask us to see, fix or delete your information any time at contact@tutorizer.ca.

5. What we collect

Account information. For parents and tutors: name, email address and role. If you sign in with Google, we receive the name and email address on your Google account. Passwords are handled by our authentication provider, and we never see them in readable form.

Child profiles. The information a parent provides about a child: first name, grade level, a username and whether the child is a boy, a girl or prefers not to say (used only to pick the starting avatar and its hair and clothing options). We also generate a link code that lets a parent connect to the child's account, and we store the avatar the child builds.

Age. When a student signs up we ask for their birth month and year. We use them for three things: to decide whether the student is under 13 and so needs a parent or guardian's approval; to work out when they turn 13, so we know when a parent's permission is no longer needed for certain things; and to suggest a grade at sign-up (a suggestion the student or parent can change). We keep the result (under 13, or 13 or older) and not the birth date. For a student under 13 we also keep the month in which they turn 13, so their account moves to the 13-and-older group on its own once that month has passed. When that happens the student reads and accepts this notice themselves, their friend list becomes private to them, and we show their parent a short note listing what changed. Parents still see progress, sessions and billing and can still ask us to delete the account. If we are not sure of a student’s age, we treat them as under 13. If they are under 13 we also collect a parent or guardian's email address, as described above.

Learning activity. Answers to questions, scores, coins, experience points, streaks, homework and assessment results, stories read, which topics a child finds easy or difficult, the topic they choose to practice (Grades 9 to 12), and for each topic how many of their practice answers were right (used for topic progress bars, adjusting difficulty, badges, and the tutor and parent summaries). We also keep a student\u2019s badges, weekly goal, streak freezes and weekly league. This is how the tutor knows where to focus.

Tutoring information. Session bookings and schedules, tutor session notes, progress and report-card summaries, and messages exchanged between parents, students and tutors inside Tutorizer.

Friends and student messages. A student can add a friend in the same grade (in high school, Grades 9 and 10 can be friends, and Grades 11 and 12 can be friends) by typing that friend's exact username, and the friend must accept. Friends can also make small private groups and compete in them; we keep the group's name and who is in it. We work out streaks (days in a row with activity) and weekly XP totals from a student's activity, and we keep each student's Daily Sprint answers and scores. We keep the list of friends and requests, and the messages friends send each other. Phone numbers, email addresses and web links are removed from those messages before the other student sees them. If someone blocks and reports another account, we keep that report (who, when, and the reason given).

Payment information. Payments are processed by Stripe. We do not see or store full card numbers. We keep the details needed to run your plan, such as your Stripe customer ID, email address, plan, payment amounts and status.

Tutor tools. Tutors provide availability and a video-meeting link for sessions. If a tutor chooses to connect Google Calendar, we use the limited access they approve (for example, to add calendar events) and only for that purpose.

Support and bug reports. If you send us a message or submit a bug report, we keep what you send, including an optional screenshot, the page you were on and your account ID.

Technical information. Like most websites, our hosting and infrastructure providers may log technical details such as IP address, browser type and the pages requested, which we use to keep the service secure and working.

Microphone (Fluency Tracker). The reading-fluency tool can listen through the device microphone, but only after the browser asks for permission and the user starts it. Speech is recognized by the browser's built-in speech service. Tutorizer does not record or store the audio.

Guests. If you try the games without an account, your chosen grade is kept in your browser for that session. Guest progress and coins are not saved to an account.

6. How we use information

We use personal information to:

  • create and run accounts, the arcade, homework and tutoring sessions;
  • give tutors and parents the progress information they need, including weekly progress reports;
  • take payments, manage plans and handle refunds and cancellations;
  • schedule sessions and send service emails and notifications (for example invitations, reminders and receipts);
  • if a parent switches it on (or a student 13 or older does for themselves), email a reminder when a streak is about to end, and send parents a short weekly summary of how their child did;
  • show leaderboards and rewards inside the product;
  • provide support, fix bugs and keep Tutorizer secure;
  • meet our legal obligations.

We do not use children's information for advertising, and we do not sell personal information.

7. How we use AI

Some features use third-party AI services to draft text, such as session notes, progress and report-card summaries, learning recommendations, reading passages and stories, and to help organize teaching content.

When these features run, we send the AI provider the information needed for the task, such as grade level, practice or homework results and tutor session notes. We remove the child's name before anything is sent, along with email addresses and phone numbers in free-text notes, and we put the name back when the result returns to us. We do not send usernames, account IDs or payment details. Other free text, such as a lesson topic or assignment title, goes through the same filter. We do not use AI features for a student under 13 until a parent has approved the account. Because notes are written by people, a note could still mention another name, so we ask tutors to keep notes to first names. Our AI provider is currently Google (Gemini), which also provides our sign-in and database. We use Google's paid service, under terms that say it does not use this information to train its models. It may process this information on servers in Canada, the United States or other countries.

AI-drafted text can contain mistakes, so treat it as a helpful summary rather than a professional assessment. If you would rather your child's information not be used with AI-assisted features, contact the Privacy Officer and we will turn them off for your child.

8. Who can see information inside Tutorizer

  • Parents can see their own children's activity, schedule, progress and reports.
  • Tutors can see the progress, assignments and notes of the students they work with, and can message the parents of those students.
  • Other students can see a student's username or display name, and avatar, on leaderboards. A student's friends (people they accepted, found only by exact username) can also message them. Friends and the members of a group can see each other's display name, weekly XP, streak and Daily Sprint score on friend and group leaderboards. Students in the same weekly league (a small group of students of a similar age) see each other's username and weekly XP. Students cannot browse or search for other students.
  • Parents of a child under 13 can also see the names of that child's friends and the names of the friend groups the child is in. This stops when the child turns 13: after that the friend list is private to the student.
  • Our administrators can access accounts as needed to run, support and secure the service. They can read a conversation between students only when one of them has blocked and reported the other, and each time they open one it is recorded in an audit log.

We recommend that children use a first name or nickname, not a full name, as their display name.

9. Who we share information with

We share information with companies that help us run Tutorizer. They may only use it to provide their service to us. We do not sell personal information.

  • Netlify for hosting the website and running the servers behind it.
  • Google Firebase / Google Cloud for sign-in, our database and file storage.
  • Stripe for payments, subscriptions and refunds. Stripe receives the parent's name, email and payment details, and an internal student ID so we can match a payment to a plan. We do not send a child's name to Stripe.
  • Pusher for real-time notifications, such as coin and reward alerts. These are sent to a private channel for your account.
  • Resend for sending emails.
  • AI provider (currently Google Gemini), as described above.
  • Video meetings. Tutors run sessions on a video service such as Zoom using a meeting link. Tutorizer does not connect to Zoom or record sessions, and the video service handles meeting data under its own privacy policy.
  • Google Calendar, only if a tutor connects it.
  • Content delivery and design services such as Google Fonts, jsDelivr, cdnjs and image services, and DiceBear, which draws the avatar images from avatar settings. When your browser loads these, the provider can see your IP address.

We may also disclose information when the law requires it, to protect the safety of a child or anyone else, or to enforce our terms. If Tutorizer is sold or merges with another business, information may transfer to the new owner, who must honour this policy.

10. Where information is stored

Our database is stored in the United States (Oregon) and uploaded files in the United States (South Carolina), with Google. Our website is hosted by Netlify, and our other service providers store and process information on servers that may be in Canada, the United States or other countries. When information is processed outside Canada, it may be accessible to courts, law enforcement and other authorities under the laws of that country.

11. How long we keep information

Two years after you leave. We keep a child's account and learning history while they use Tutorizer, and for two years after they stop. They have “stopped” when there is no active tutoring plan and no one in the family has signed in. If the family comes back during that time, the two years start over. About a month before we delete anything, we email the parent a warning, and we email again once it is done.

Sooner if you ask. When a parent or guardian, or you, ask us to delete an account, we delete or de-identify the personal information tied to it (including the child's learning history, friends, messages, files and support reports), except where we need to keep something to meet a legal obligation. Payment and tax records are kept separately for six years, the period the law generally requires for business records, and they do not contain a child's name.

Block-and-report records are kept while they are needed to look into a concern, and are deleted with the account they concern.

Under-13 accounts that a parent never approves are deleted automatically after 14 days. Backups and logs may keep copies for a short time after deletion.

12. How we protect information

We use access controls and encrypted connections, and we limit who can see personal information. Our providers maintain their own security measures. No system is completely secure, so we cannot guarantee absolute security. If a breach creates a real risk of significant harm, we will notify affected people and the authorities as required by law.

13. Your choices and rights

You can ask us to:

  • tell you what personal information we hold about you or your child, and send you a copy (a parent can ask for a copy for their child, and a student who is 13 or older can ask for their own; we email it to the address on the account);
  • correct information that is wrong or out of date;
  • delete an account and its information;
  • stop using your or your child's information for a purpose you did not agree to, or withdraw your consent (we may then be unable to provide parts of the service);
  • stop using AI-assisted features for your child.

Email the Privacy Officer at contact@tutorizer.ca. We will respond within 30 days. We may need to verify who you are first, to protect your child's privacy.

If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

14. Cookies and similar technologies

Tutorizer uses your browser's storage to keep you signed in and to remember small settings such as a guest's chosen grade. We do not use advertising cookies or third-party analytics trackers. Blocking browser storage may stop you from staying signed in.

16. Changes to this policy

We may update this policy as Tutorizer changes. When we make a significant change, we will update the date at the top of this page and, where appropriate, tell you by email or inside the app.
